- Business or organization name — used to identify your organization within the Service
Employee and Attendance Data
- Employee names and IDs — provided by account administrators to identify staff members within the Service
- Check-in and check-out timestamps — recorded each time an employee marks their attendance
- Location data — GPS coordinates or geofence zone data may be collected at check-in if location-based verification is enabled by your account administrator. Location collection only occurs during active check-in events and is not tracked continuously.
Usage Data
- Log data including IP addresses, browser type, pages visited, and timestamps
- Feature usage patterns to help us improve the Service
- Device and operating system information
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the CheckInPro attendance tracking Service
- Record and display attendance logs for authorized administrators
- Generate attendance reports and analytics for your organization
- Manage your subscription and process payments
- Send service-related communications, including account notifications and support messages
- Analyze usage trends to improve the Service
- Comply with legal obligations
We do not sell, rent, or trade your personal information or employee data to third parties for marketing purposes.
3. Administrator Responsibilities
CheckInPro is a business tool. When you use CheckInPro as an account administrator, you are responsible for:
- Informing your employees that their attendance data, including timestamps and location data (if enabled), is being collected and stored
- Obtaining any required consent from employees under applicable employment or privacy laws in your jurisdiction
- Ensuring that your use of CheckInPro complies with local labor, employment, and data protection regulations
4. Third-Party Services
CheckInPro relies on the following third-party services to operate:
Stripe (Payment Processing)
All subscription payments are processed by Stripe, Inc. CheckInPro does not store your credit card or payment information on our servers. Stripe handles all payment data in accordance with PCI-DSS standards. Please review Stripe’s Privacy Policy for details.
Cloud Infrastructure
CheckInPro uses secure cloud hosting providers to store and process data. These providers operate under strict data processing agreements and do not access your data for any independent purpose.
5. Location Data
Location data is only collected if your account administrator enables location-based check-in verification. When enabled:
- Location is captured as a single GPS coordinate at the moment of check-in, not tracked continuously
- Location data is stored securely and accessible only to authorized administrators of your organization
- Employees will be notified within the app when location capture is active
If you do not wish to share location data, you should contact your account administrator regarding your organization’s check-in settings.
6. Data Retention
We retain your account information and attendance records for as long as your account remains active. If you cancel your subscription or delete your account:
- Your account data and attendance records will be deleted within 90 days
- You may request an export of your attendance data before deletion
- Certain data may be retained longer if required for legal, tax, or compliance purposes
7. Data Security
We implement industry-standard security measures to protect your information, including encrypted data transmission (TLS/HTTPS), secure server infrastructure, role-based access controls, and regular security reviews. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
8. Your Rights
Depending on your jurisdiction, you may have the following rights regarding your personal data:
- Access: Request a copy of the personal data we hold about you
- Correction: Request correction of inaccurate or incomplete data
- Deletion: Request deletion of your personal data (subject to legal retention requirements)
- Portability: Request your attendance data in a machine-readable format (CSV export)
- Objection: Object to certain types of processing
- Opt Out of Location Collection: Contact your account administrator to disable location-based check-in for your account

9. Children’s Privacy
CheckInPro is a business and workforce management tool not intended for use by individuals under the age of 16. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected such information, please contact us immediately.
10. International Data Transfers
Your information may be stored and processed in countries other than your own. By using CheckInPro, you consent to the transfer of your information to countries that may have different data protection rules than your country. We ensure appropriate safeguards are in place for any such transfers.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice within the Service. Your continued use of CheckInPro after changes take effect constitutes acceptance of the revised policy.
